Preamble:

Every person at St. Monica is called to follow the Great Commandment of Jesus Christ as found in Matthew 22:37: “’Love the Lord your God with all your heart and with all your soul’ and ‘Love your neighbor as yourself.’”

In addition, every person at St. Monica has a particular role to play in fulfilling the “Mission of Jesus Christ” as stated in Matthew 28:19. “Go and make disciples of all nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit.”

These two are concretely expressed in the mission of Saint Monica Parish – “Called by Name; Gifted by God; Committed to Prayer; Driven to Serve… Abiding in Hope.”

The role of the staff in fulfilling the mission is to guide, and assist, wherever possible, any individual who walks in the door or calls on the phone to allow them to do their part in fulfillment of the mission. The staff is very collaborative in its approach and wants to likewise collaborate with parishioners, ministries and organizations to produce parish liturgies, religious educational, spiritual programs, service opportunities and social events of the highest caliber while stewarding the parish resources in the best interest of all. It is our intention to approach your questions and concerns in a timely manner, with kindness and thoughtful insight.

General Office Practices:

Your time is valuable and we want to make sure that we’re here when you’re here. Thus, it is helpful to call in advance and not assume someone will be in his or her office during regular business hours on a particular day.

To afford you full, professional attention, the staff needs to plan our schedules accordingly. Therefore, please make appointments with parish staff whenever possible, to discuss various matters. * This especially includes Father’s time before, after and between masses. If you have an important issue to discuss with him; please schedule a time to meet with him.

No one likes surprises and we wish to provide you with thoughtful preparation and consideration. Thus, provide an agenda in advance of a meeting. Briefly let us know what the issues are. Provide some idea of a desired outcome so that we can have all necessary materials ready for your discussion.

It is the staff’s responsibility to properly steward the limited parish resources for the good of the parish as a whole. This is especially the case regarding St. Monica facilities. You can meet with Cathy Levine if your ministry is interested in reserving space and please utilize the Facility Request Forms. The more advanced planning you do, the better the chance of avoiding any scheduling conflict and ensuring that a particular facility being available for your event.

We want to help you “announce the good news!” The staff addresses many issues and activities, which require significant internal and external communication and coordination. Take a look at the Parish Communications and E-Mail Policy then please make use of the Communications Campaign Form well in advance of your group’s activity. This form will help you and the staff craft a compelling advertising message and utilize the best media to get information out to the parish and beyond.

Because of the close quarters of the parish offices, and the confidential nature of some materials for which the staff is responsible, please do not immediately enter the staff area of the rectory staff unless invited.

When you arrive, staff members might be working on another pressing item. In addition, the staff is committed to regular, individual prayer time for the intentions of the parish and might be in church or in the rectory chapel. We invite you to please wait in the waiting room of the rectory until they are available for you. We will be happy to offer a beverage, refreshment or prayer while you are waiting.

The staff will make every effort to respond to parishioner email inquiries in a reasonably timely manner. The staff also takes time to provide “away messages” on their emails if they are not going to be in their office during normal business hours. In return it is the expectation of the staff that e-mails sent to inform parishioners will be read and that requests and instructions attended to by parishioners in a timely manner.

 

Communications:

Internal communication is accomplished by daily “stand-up” meetings between Fr. Zlock and the staff to keep informed and to help each other trouble-shoot pressing issues. Weekly staff-lunch meetings are held to address issues in more detail.

Interactions between parish staff and parish ministries, groups, and individuals must be viewed as a two-way street to ensure a favorable outcome for all concerned.

It is helpful to understand that the staff has responsibilities in various areas of parish operations. In addition, parish work requires us to respond to many types of sensitive or emergency situations requiring communications that are confidential in nature. We endeavor to maintain the utmost confidentiality for each and every parishioner’s concerns.

 

Office Hours:

Some staff members work on weekends and some during the evening. The staff enjoys prayer and lunch between 12:30 PM – 1:15 PM.
